Impact and corresponding towards invalidation processing of Science Tokyo ID (Correct/Revise)

1. Summery

  • Since it started issuing Science Tokyo ID in August 2024, we had temporarily suspended the revocation of Science Tokyo ID for those who have already left the college (graduated, retired, etc.) in order to minimize the impact on users. However, in order to normalize the operations, a batch ID revocation process was carried out on April 21, 2025. Accordingly, the Science Tokyo ID for those who left the college due to retirement, graduation, completion, etc. by March 31, 2025 (including those have the old ID due to status changed) has been already invalidated.
  • From now on, the Science Tokyo ID will be revoked immediately after the date of withdrawal (graduation date, retirement date, etc.). Please see [Reference] for detailed conditions.
  • Carefully note that this notice includes important corrections towards the notice dated April 15th.
  • (1) Science Tokyo Authentication System has been fully operational since this faculty year, and we are asking users to take steps never taken before, (2) The short period for the migration and the work not routinely carried out, for these reasons, we have now made an exception and identified users who are likely to have difficulty switching ID or transferring data regarding the old ID, and can extend its validity period. However, we will require each individual to carry out the transition work based on this announcement and no longer provide special measures.

2. Candidates and Correspondence

  • From now on, Science Tokyo ID for faculty, staff, and students will be automatically revoked according to the date they leave the college. If this applies to you, please be sure to follow the steps below to transfer your data or take over your account before the expiration date.
  • Please note that for those who joined the college as a JSPS Research Fellow (PD, etc.) as of April 1, 2025, who were enrolled in a different academic or professional position at the college before March 31, 2025, and who have not received new Science Tokyo ID as of April 23, 2025, the expiration date of the old ID will be May 18, 2025. Please complete your data transfer by then. (Example: Those who are no longer belong to the college but have research funds and will be using the 2025 Financial Accounting System.)
  • If you are experiencing problems with data loss due to the ID expiration process on April 21, please contact below by April 25 at 5 p.m. (Punctual) with the following information. Please note that we may not be able to meet your request even if you contact us. Furthermore, we will not be able to respond to your request if the deadline has passed, regardless of the reason.
    • Name/Affiliation of ID holder
    • Science Tokyo ID
    • When to change your IC card number
    • Circumstances of data loss due to ID expiration (reason for inquiry)

3. Correspondence on Each Service

(Science Tokyo Slack)

  • Temporarily, there exists two available Slack accounts.
  • If you wish to continue using your old Slack account, you can do so by modifying the email address of your Slack account to your new email address on the administrator's side. In this case, the other new Slack account will be deactivated.
  • If you wish to continue using your old Slack account, please submit your old and new Science Tokyo IDs and other information through the "Slack Account Transfer" workflow posted at #help-学生slack-情報基盤課  or #help-教職員slack-情報基盤課
  • Temporarily, two available Slack accounts exist on Slack, one with the old email address and one with the new email address. The old Slack account will become unavailable when your Science Tokyo ID expires.

(Science Tokyo Box (for Sci and Eng ONLY))

  • Temporarily, there exists two available Slack accounts.
  • If you wish to continue using your old Slack account, you can do so by modifying the email address of your Slack account to your new email address on the administrator's side. However, any files owned by the new account will not be carried over.
  • For status changes that occurred up until April 1, 2025, the admin carried out a batch handover. If you have any inconvenience, please contact us individually. It has been reported that affected users are experiencing issues logging in and the message "Sign On Error" appears. If this happens to you, we would appreciate it if you let us know via the Slack help channel.
  • We will provide further information regarding future transfer procedures.

(Science Tokyo Gmail)

  • Science Tokyo Gmail address itself cannot be transferred. However, it is available to transfer mail contents and address book.
  • Please refer to the following link for how to transfer:

    ※For security reasons, please avoid transferring data to a personal Gmail account (such as xxx@gmail.com).

(Microsoft365 (MS365) (for Sci and Eng ONLY))

  • Tokyo Tech MS365 ended at the end of March 2025. Science Tokyo MS365 is now available.
  • MS account switching by the Information Department is not possible.
  • If you have MS365 data (OneDrive, Forms, etc.) you wish to transfer to the new ID, please contact at #contact-ms365-情報基盤課.
  • After the deadline, you will no longer be able to access MS365 with your old ID, so be sure to transfer your data before the deadline.

4. Note

  • If your Science Tokyo ID expires, you will no longer be able to access the Science Tokyo Authentication System or any related services.
    • Example: People who have been shared or invited to your shared files in your personal Box area may no longer be able to access them.
  • According with changing your ID, the account linked to your old ID may no longer be available.

These are important information regarding the process of the revocation of Science Tokyo ID. Please do not forget to complete the necessary steps.

ID Revocation

Revocation Timing
  • Users registered in Trusted DB (Human Resources and Payroll System/Student Registration System)
    • The ID will be revoked on the day after you leave the college or graduate/complete your studies.
  • Users unregistered in Trusted DB (Financial Accounting System users)
    • The ID will be revoked on the day after the contract ends. Renewal can be completed one month before the contract end date.
    • If the contract period is one year or more, you will need to renew your ID once a year.
    • We will provide you further information on how to renew your ID.

Switching ID

Cases where this switching occurs
  • If you become a member of Science Tokyo again after graduating or leaving the college (excluding students who are continuing on to their study programs with no intervals in Sci and Eng field in the college).
    • The ID used before withdrawal will be invalidated and a new ID will be issued.
  • For students entering the Science and Engineering field
    • If there is no gap between completion and enrollment, you can continue to use your same ID.
  • Change of employee number
    • The ID for the old employee number will be revoked and a new ID for the new employee number will be issued.
  • Change of your registration from Student Registration System to Human Resources and Payroll System
    • ID issued when you were a student will be revoked, and a new ID will be issued as faculty and staff.
  • Changes to registrations inside and outside Trusted DB
    • When a user changes from outside the Trusted DB to inside it, or vice versa, the old ID will be revoked, and a new ID will be issued.
    • Example) March 31, 2025: Part-time unpaid lecturer in the Medical and Dental Sciences (commissioned term ends) / April 1, 2025: Start working as an assistant professor (registered in Human Resources and Payroll System)
